JOB QUALIFICATIONS – KNOWLEDGE, SKILLS, AND ABILITIES

SPECIAL KNOWLEDGE and SKILLS

This position requires effective oral and written communication skills, attention to detail, excellent interpersonal skills and intermediate computer literacy. Good human relations skills are required. This position requires understanding of individuals that have special needs and other issues related to their military service.

LANGUAGE SKILLS

Incumbent must possess the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Incumbent must possess the ability to write reports, business correspondence, and procedure manuals; effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

REASONING ABILITY

Incumbent must possess the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Incumbent must possess the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

PHYSICAL DEMANDS

While performing the duties of this job, the incumbent is regularly required to sit and talk or hear. The incumbent frequently is required to use hands to finger, handle, or feel; reach with hands and arms. The incumbent is occasionally required to stand, walk, stoop, kneel, crouch, crawl and climb or balance. The incumbent must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.

WORK ENVIRONMENT

While performing the duties of this job, the incumbent is routinely exposed to outside weather conditions. The noise level in the work environment is usually moderate.

Pay Grade: 75, Non-Exempt

Starting hourly rate: $22.83

Minimum Experience:

  • General office and customer service experience; or any equivalent combination of education, training and experience that provides the requisite knowledge, skills, and abilities for this job.

  • Incumbent must be an Honorably Discharged Veteran.

Minimum Education: High School diploma or equivalent.

Certifications, Licenses:

  • Must have dependable transportation.

  • A pre-employment criminal background check is required.

  • Incumbent must be willing to attend and pass the Tennessee Department of Veterans Services credentialing course within six months of employment, as well as attend mandatory training to maintain accreditation.

GENERAL POSITION DUTIES AND RESPONSIBILITIES:

The following duties are normal for this position. However, they are not to be construed as exclusive or all–inclusive. To perform this job successfully, an individual must be able to perform each duty satisfactorily. Other duties may also be required or assigned.

  • Responsible for the safekeeping and safeguarding of clients digital files, which abides by HIPAA privacy law

    • Greets visitors and clients in a courteous manner

      • Professional phone skills dealing with multiple phone lines and emotional callers

        • Must have the ability to multi-task with phone calls and walk-in clients

        • Responsible for verifying clients digital or hard copy file for following days schedule

        • Responsible for preparing reports of daily activities and statistics of phone calls and visitors of the MCVSO

        • Responsible for ordering forms and office supplies, logging/sending faxes and controlling outgoing calls for clients that are in the waiting room

        • Responsible for communicating with various organizations in order to assist the Director with the preparation of the Annual Montgomery County Veterans Day Parade and Memorial Day Ceremony

        • Responsible for preparing incoming / outgoing mail for the post office, including large files with claims, and important requests to the Military Records Center

        • Responsible for attending mandatory training of the internal system (Munis) in order to discuss proper procedures for purchases and payments

        • Responsible for all requisitions for office needs, to include obtaining written quotes as necessary in compliance with County policies

        • Responsible for submitting work orders for maintenance or Information Technology issues within the office

        • Responsible for administrative duties and other task as assigned by the director and/or assistant director

        • Responsible for daily data-entry of veterans profiles in of attorney forms for clients prior to their appointments.

        • Responsible for the establishment of clients digital files

        • Computer knowledge is required to include Access, MS Word, MS Excel, MS Outlook and Power Point

        • Must be able to learn up to date computer software programs such as Tennessee Veteran Benefits System (TVB), for daily use

        • Responsible for scheduling over 50 appointments on a daily basis on MS Outlook

        • Responsible for handling over 15,000 monthly phone calls

        • Must be able to work holidays as required
