The Records Specialist - Sheriff is responsible for a range of clerical and administrative tasks, ensuring the efficient and accurate management of records and information. This position plays a vital role in supporting the operations of the Sheriff's Office, particularly during emergency situations. The specialist will work under the supervision of a Corporal-Jail and may be required to work rotating shifts, including nights, weekends, and holidays, to ensure the smooth functioning of the department.

- High School diploma or GED is required, with a preference for experience in a similar role.
- NCIC certification is mandatory for this position, ensuring proficiency in using the system.
- Ability to act with tact, impartiality, and courtesy when dealing with the public and colleagues.
- Excellent communication skills, both written and verbal, with the ability to convey information clearly and concisely.
- Proficiency in using office equipment and computer software to complete job requirements, including data entry and record management.
- Ability to work as part of a team and collaborate effectively with colleagues and external agencies.
- Knowledge of applicable state statutes, laws, and regulations to perform duties accurately and ethically.
- Physical ability to operate equipment, lift and carry objects up to 40 pounds, and render physical assistance in emergencies.
- Strong interpersonal skills, with the ability to interact with diverse audiences and handle stressful situations calmly.
- Willingness to undergo periodic and specialized training to stay updated with evolving office procedures and technologies.
- Perform data entry of arrests and inmate releases into the Jail records management system, ensuring accuracy and timely updates.
- Confirm wants and holds on inmates through the NCIC system and place holds on wanted individuals.
- Answer phone inquiries and handle correspondence from law enforcement, courts, bonding agents, and the public, providing information and assistance.
- Enter and update information on wanted persons, stolen vehicles, and protection orders in the NCIC system.
- Assist in the training of new personnel, ensuring they are familiar with office procedures and policies.
- Have knowledge and practical application of the Sheriff's Office Policies, Procedures, and Guidelines Manual.
- Participate in recruitment activities and community relations events as directed by the Sheriff's Office.
- Provide courtroom testimony when required, ensuring accurate and professional representation of the Sheriff's Office.
- Maintain a high level of confidentiality and professionalism when handling sensitive information.
- Perform other related duties as assigned by the Corporal-Jail or other superior officers.
