ABOUT YOU:

Join our fast-paced printing facility as a Billing Specialist, where your attention to detail helps keep our Accounting department operations running smoothly and our customers happy.

The Billing Specialist prepares and processes all customer invoices accurately and on time, using company pricing guides and Excel-based tools. Responsibilities include entering and revising invoices, posting write-offs and adjustments, obtaining required

approvals, and reviewing bills of lading, freight calculations, and invoice worksheets.

This role partners closely with customer service, sales, and internal departments to ensure invoices align with customer orders and deliveries, verify customer credits and sales commissions, respond to billing inquiries, maintain SOX- and audit-compliant records, and support quarterly audits.

The Billing Specialist delivers excellent customer service to schools, sales teams, and plant stakeholders while supporting the Billing and Accounting departments with additional duties as assigned by the Plant Controller or Assistant Plant Controller.

YOU WILL:
  • Prepare and verify billing transactions. Ensure compliance with corporate policies and standard procedures.

  • Enter and maintain billing data. Process write-offs and adjustments using complex spreadsheets, databases, and company systems, including Oracle, Salesforce, Plant Admin, Excel, and Access.

  • Deliver excellent customer service. Maintain clear, professional communication with schools, sales representatives, customer service, and plant stakeholders.

  • Resolve billing issues and inquiries. Investigate discrepancies and provide timely, accurate resolutions. Process and validate customer credits. Research accuracy and obtain required approvals.

  • Maintain billing system accuracy. Enter billing codes and perform work verifications. Report commission adjustments. Ensure accurate and timely commission-related updates.

  • Support administrative operations. Organize, file, and maintain an efficient, near paperless work environment. Perform annual testing to ensure software functionality across all environments.

  • Ensure audit readiness and compliance. Maintain accurate records and documentation in alignment with SOX and audit requirements.

  • Support cross-training and teamwork. Learn accounting and related functions to provide operational backup.

  • Promote workplace safety. Follow departmental and plant safety rules and guidelines.

YOU HAVE:
  • Education & Experience: High School degree and at least 2 years of Billing or Accounting experience.
  • Computer Skills: Experienced in MS Office programs & very good working knowledge of Excel & MS Access.
  • Accounting Skills: Ability to perform billing transactions within multiple accounting systems, demonstrating good math skills and critical thinking.
  • Organization & Communication: Exhibit strong organizational skills, manage multiple priorities, multitask effectively, and meet deadlines under pressure. Demonstrate strong written and verbal communication skills.
  • Good Analytical Ability: Perform accurate calculations and maintain detailed, SOX and Audit compliant records.
  • Service Excellence: Professional and customer-oriented. Responds to inquiries promptly, troubleshoots and researches detailed information to resolve issues effectively.
  • Team Oriented Approach: Work collaboratively with minimal supervision while maintaining a positive work environment with colleagues at all levels of the organization. Very positive demeanor is a must.
  • Understanding of Operational Needs: Demonstrate flexibility to learn new technologies and work variable hours or overtime with short notice.
  • Physical & Performance Requirements: Ability to lift up to 20 lbs., and maintain excellent attendance and performance requirements.
  • Preferred Qualifications: Technical School or Associates degree in a related field. Prior experience working directly with customers in a service-focused environment. Experience using Oracle and similar ERP systems.
