The Event Specialist will serve with hands on involvement at all F&M Bank Arena events including concerts, athletics, and much more! This role will help promote our standards to achieve our ONE GOAL while providing a memorable experience for both guests and clients.

Job Responsibilities

  • Produce, manage, and execute events including, but not limited to, the following:
    • Austin Peay Men’s and Women’s Basketball Games.
    • F&M Bank Arena Events, both inside and outside of the facility.
    • Concerts and Live Productions.
    • Sales, Sponsorship, Community Relations, and Marketing Meetings & Events.
    • Ford Ice Center Events
  • Participate and communicate information in event production meetings with department representatives to successfully execute fulfillment for all event needs of the client, the venue, and the patron.
  • Develop event documents to effectively communicate with all departments regarding operational needs.
  • Working knowledge an understanding of Riders and Production Documents for concerts and Live Productions.
  • Create seating layouts in CAD for assigned events.
  • Serve as an overall resource to all departments for the assigned event.
  • Determine proper staffing levels according to event requirements and general facility security and safety.
  • Manage a master schedule for all arena meeting and event locations.
  • Ensure production requirements, event estimates, and final billings are completed in a timely manner.
  • Manage follow-up reports at conclusion of event to ensure patron and client satisfaction.
  • Maintain post event summaries and correspondence as required for all events.
  • Act as liaison between the client and facility reassuring that all requirements are met and facility rules, regulations and policies are adhered to.
  • Provide quality customer service to facility staff, clients, and the general public.
  • Work alongside the Guest Services Manager on customer service initiatives and follow-up requests for events as necessary.
  • Manage complaints and related issues with the public and clients involving tickets, seating, concessions, arena presentation and operations.
  • Perform other duties as assigned.

Minimum Requirements:

Four (4) year Bachelor’s degree in a related field from an accredited college or university.

One (1) year of related experience in the meeting planning or event planning industries.

Equivalent combination of education and experience may be taken into consideration.

Proven ability to develop, organize and communicate event documents for the staging of large-scale public events.

Effective communicator and decision-maker in a high-pressure, fast-paced work environment.

Ability to organize, plan, and prioritize daily workloads.

Possess a team player mentality and easily adapt to changes in a multi-client environment.

Proven ability to meet stringent deadlines through multi-tasking, and ability to work effectively in high-pressure situations.

Skilled in establishing strong customer relations and meeting or exceeding customer needs and expectations.

Computer proficiency in Microsoft Office and basic office equipment.

Knowledge of computer aided design programs (CAD) such as AutoCAD, Vectorworks, or TurboCAD preferred.

Possess a valid driver’s license, possess a suitable driving history and be insurable by Powers Management’s insurance carrier. As a condition of employment, qualified applicant will be subject to a background check including criminal history, driving history, previous employment verification and character references.

Essential Physical Functions:

  • Working under extreme deadlines under pressure.
  • Working extended hours, including nights and weekends.
  • Frequent lifting, bending, walking and handling and lifting heavy equipment up to 50 lbs. required.
  • Exposure to bright lights, extreme temperatures, and loud noise.
  • Ability to stand in an upright position for continuous period of time.
  • Excellent speaking and listening skills, requiring the perception of speech.
  • Willingness to occasionally work in areas of elevated height.
  • Capable of sitting, standing, and walking for extended work hours.

Equipment Used:

  • Ability to use office equipment, barcoding scanner system, industrial equipment, and
  • theatrical equipment.
  • Ability to use or be trained to use the following:
    • Golf carts
    • Palette Jacks
