Position Summary Information
Position Summary | The Senior Administrative Assistant is responsible for processing work requests received within the FMX work order program. FMX is a web-based work order entry system used for work orders, preventative maintenance, and inventory control at APSU. This position also serves as receptionist for the Physical Plant by answering incoming calls, greeting visitors, and supporting the Operations Manager with various projects. Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 10,000 students and is located in Clarksville, Tennessee, a community of an estimated 180,000 people located approximately 40 miles northwest of Nashville, TN. |

Primary Duties and Responsibilities | -Prepare reports for requests made by the various Physical Plant departments. -Responsible for receiving all incoming calls to the work order hotline, assist with Physical Plant phone calls and the dissemination of requests and information received to appropriate parties. -Maintain knowledge of all Physical Plant department budget lines and account numbers associated with those budgets -Print monthly FMX reports and check for accuracy of data entered. -Assist with key requests and their documentation as needed by Operations Manager. Process incoming key requests. Check out keys to faculty, staff, and students -Assst with changes to electronic access through Transact software. -Assist Data Management Clerk with data entry and proofing for the preventive maintenance module in FMX and reports as needed. -Monitor work orders assigned to maintenance personnel and answer questions about specific work orders. -Data entry, dispatches, and maintenance of necessary information into the FMX system. -File and close work orders. -Maintain inventory of office supplies. -Assist in the warehouse, shipping and receiving areas as needed. -Assist Operations Manager with annual capital asset inventory -Perform other job-related duties as assigned. |
Knowledge, Skills, and Abilities | -Ability to efficiently operate a personal computer, Microsoft Office Suite (Word and Excel), FMX software (work orders), Transact (access control software) and SimpleK software (key management). -Ability to make accurate mathematical computations. -Ability to interact in an effective and appropriate manner with diverse populations, the University community, and public coworkers. -Ability to communicate effectively. Ability to use two-way radio for communications. -Ability to maintain confidentiality. -Ability to efficiently establish and maintain accurate records and reports. -Ability to make sound decisions. |
Physical Requirements | -Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. |
Required Minimum Qualifications | -High School diploma or equivalency (GED/HiSET) -Previous office and customer service experience. -A minimum of one (1) year of previous data entry and computer software experience. -Prior bookkeeping experience is helpful. -A background check will be required of the successful applicant. |
