Position Summary
The Administrative Assistant is responsible for greeting students and other visitors who walk into the Fort Campbell Center and responding to inquiries via phone and email. This position determines how the Fort Campbell Center staff can best meet visitors’/students’ needs. Position will assist in managing academic and administrative spaces in the Army Education Center and the APSU Center at Fort Campbell and in maintaining supplies and ensuring proper operations of classroom and administrative technology.

Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 10,000 students and is located in Clarksville, Tennessee, a community of an estimated 180,000 people located approximately 40 miles northwest of Nashville, TN.
Primary Duties and Responsibilities
  • Greet and check-in visitors; provide exemplary customer service to walk-in and scheduled visitors to the main office; ascertain visitor’s needs; answer questions; refer to the appropriate office/person for follow-up.
  • Answer the main phone line and address all issues as appropriate; professionally greet callers; answer questions to the best of their ability; direct callers to appropriate staff for follow-up.
  • Assist in group sessions for new student inquiries; attend sessions under direction of center advisor; provide support for potential students in completing application process.
  • Assist students with the admissions, enrollment, and financial aid processes; provide guidance for submission of university application; assist with ordering Joint Service Transcript and other transcripts; assist with setting up ArmyIgnitED and requesting Tuition Assistance.
  • Make ID cards for students; operate computer and printer to provide ID cards to students, staff, or faculty; manage APSU ID card system on site.
  • Assist advisors with student system needs; serve as soft hand-off for advisors to complete registration/enrollment process.
  • Assist with room management in the Army Education Center and the APSU Center at Fort Campbell; assist with setting up classrooms and computer labs for classroom needs; troubleshoot computer issues when outages are reported; work with faculty to make room changes as requested.
  • Assist in maintaining supplies and ensuring classroom technology is operating properly; maintain copier paper/ink levels; ensure low supplies are reported to the appropriate person for reorders.
  • Schedule appointments within established guidelines.
  • Interact with division staff, faculty, advisors and personnel from other university departments assigned to or performing duties at the center.
  • Deliver world-class service to our customers, in person, via email, or on the phone.
  • Follow one-stop policy for resolving all possible issues in one visit.
  • Collaborate with Student Success Professionals to ensure students and prospective students receive prompt and superb service.
  • Establish and maintain ongoing working relationships with other university departments and offices and external resources related to serving and supporting students.
  • Interact with division staff, faculty, and personnel from other university departments assigned to or performing duties at the center.
  • Perform other job-related duties as assigned.
Knowledge, Skills, and Abilities
  • Ability to understand and act within APSU policies and academic standards as well as the Family Educational Rights and Privacy Act of 1974 (FERPA).
  • Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.) as well as APSU OneStop, Banner and ArmyIgnitED.
  • Ability to communicate effectively and appropriately.
  • Ability to maintain confidentiality of records and information.
  • Ability to interact in an effective and appropriate manner with diverse populations, the university community and the public.
  • Ability to detect and correct grammatical and spelling errors in written correspondence.
  • Ability to maintain files accurately, in paper and in software programs.
  • Ability to relate to students, faculty, and parents.
  • Ability to define university and degree requirements for all Austin Peay majors.
  • Ability to stay current on trends in academic advisement.
  • Ability to multi-task and work evenings as required.
Physical Requirements
  • Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
Required Minimum Qualifications
  • High school diploma required; associates degree desired.
  • Minimum of one year of related work experience.
  • Computer literacy.
  • Ability to work flexible hours to include weekends.
  • A background check will be required for the successful applicant.
