Position Summary
The Assistant Director- Alumni and Annual Giving will work in a team setting to create and deliver alumni programs and volunteer opportunities according to the mission of APSU. Reporting to the Assistant Vice President of Alumni and Engagement, he/she will oversee alumni chapters/clubs/groups, manage alumni volunteers and produce several large-scale events. This will include creation and implementation of new and existing programs based on alumni interest and Alumni Department goals. He/She will work closely with the Senior Director of University Events & Engagement, Office of Philanthropy, campus partners in other colleges and in the University’s National Alumni Association to provide meaningful events and engagement opportunities for alumni and volunteers.

Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 9,000 students and is located in Clarksville, Tennessee, a community of an estimated 166,000 people located approximately 40 miles northwest of Nashville, TN
Primary Duties and Responsibilities
  • Plan, organize and implement Alumni and Annual Giving events and initiatives;
  • Support key responsibilities of Assistant Executive Director of Alumni and Annual Giving including logistics, program coordination and vision, and general management, in accordance with division and university mission
  • Work closely with campus partners and current students and University’s Alumni Association to provide meaningful events and engagement opportunities for alumni, students, donors and volunteers.
  • Support sophisticated and complex invitation and attendance list creation, and management of event marketing and reporting and manage alumni volunteer groups for event planning purposes
  • Supervise and provide overall direction to the National Alumni Association Board of Directors in all communications, events and programs, budget needs, meeting organization, and other Board duties as assigned
  • Assist Assistant Executive Director of Alumni and Annual Giving in engaging existing Alumni Chapters and assist in researching locations/specialty groups for creation of new Alumni Chapters
  • Oversee all Alumni Chapter events/initiatives, such as: Mentorship Programs, Networking opportunities, Govs Gatherings, Student Alumni Association etc.
  • Guide and implement marketing and planning timelines, working in close collaboration with Alumni and Annual Giving team, Office of Philanthropy, Presidents Office, and other constituents, including but not limited to APSU colleges/departments, Military campus partners, Career Services, volunteer groups, honorees, speakers, centers and institutes.
  • Work collaboratively with Marketing and Communications team in the publication of electronic materials that advance alumni engagement and philanthropy.
  • Establish measurable goals and objectives for alumni engagement; develop, implement and report on an engagement index measurement to effectively evaluate alumni programs, activities, and the alumni engagement team.
  • Incorporate fundraising efforts into events and activities
  • Perform other related duties as assigned.
Knowledge, Skills, and Abilities
  • Working knowledge of concepts, principles and practices of event planning and production including vendor management, audio visual, contract and negotiation processes, day-of timelines, etc.
  • Experience with Customer Relation Management systems
  • Knowledge of event budget creation, management and tracking processes.
  • Detail-oriented with proven ability to multi-task and adhere to strict deadlines. • Ability to recruit, train and motivate alumni volunteers at regional and national levels.
  • Expert in Microsoft Office and Google technology with a proficiency in Excel, PowerPoint, • Ability to interact in an effective and appropriate manner with diverse populations, the University community and the public.
  • Working organizational skills, including skill in effectively coordinating and organizing multiple details in accordance with event planning and marketing timelines.
  • Experience and ability to work well in a collaborative role with assigned work
  • Demonstrates sound judgment, effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas
  • Ability to work independently with minimal supervision and take a great deal of initiative.
  • Available for weekend and evening activities and occasional overnight travel.
Physical Requirements
  • Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
Required Minimum Qualifications
  • Bachelor’s degree
  • A minimum of 2 years’ professional experience in a higher education setting or a complex event environment.
